THE IMPACT OF MANAGEMENT INFORMATION SYSTEM ON THE PRODUCTIVITY OF SECRETARIES IN EMENITE COMPANY LIMITED ENUGU
ABSTRACT
The write up is aimed at identifying the roles and impact of
management information system on the productivity of secretaries in
manufacturing industries Enugu Urban. The instrument used for collection
of data was a self developed strongly agreed, agreed, disagreed and
strongly disagreed type of questionnaire. The researcher made use of 80
(eighty) respondents consisting of senior and junior staff selected
randomly in Emenite company limited Emene, Enugu. The researcher made
use of mean of the weighted mean and standard deviation and null
hypothesis in the analysis of the data using t-test. The major findings
of the study showed that the operations of management information system
in an organization boost the work of secretaries in general and that
neglect to this method of operation silences the work of secretaries in
organization. The researcher recommendation among other things that
every manufacturing industry should endeavour to operate management
information system and that their should be frequent in service training
to up-date knowledge of staff.

INTRODUCTION
1.1 BACKGROUND OF THE STUDY
Management information system was introduced in Nigerian firms in order to enhance productivity. And for management information system to be effected in any organisation, effective communication process must be adhered to, appropriate equipment used and information processed is chanelled to relevant destination in time.
In Enugu Urban today, most manufacturing industries have introduced management information system in the operation of their various firms. Some of these manufacturing industries are PRODA, ALUMACO, ANAMCO, NBL, COCA-COLA and EMENITE Company limited. Among all more emphasis is laid an Emenite company limited.
Emenite Company limited is one of the lead manufacturing companies in Enugu Urban Enugu state. Emenite company limited is a member of Etex group that was incorporated in 1961 as Tubers Asbestos Cement (TAC) Nigeria limited. The company commenced production in 196. The product line as at 196 was mainly flat sheet and pressure pipes and later expanded to include corrugated roofing in 1975.
Emenite company limited has 5) five major department namely, personnel administrative, finance, commercial, Engineering and production department. Five senior managers who report to the managing director who approves all the activities going on in the company head these departments. There are three minor departments that report directly to the managing director. These departments includes supply, health and safety and quality control departments. They are also headed by junior managers respectively. There are also subsetime under the major department where the officers report to the senior managers. Since its incorporation in 1961. The company has gained a wealth of expenses though constant product research adhere to international standard specification and more through total consumer satisfaction by promoting the development of Nigeria and the introduction of other quality roofing materials and improve it’s services.
With the assistance of it’s European partner the region eternity group through REDIO was latter changed to Enterx Group in 1995. The company is well able to meet the requirements of the grouping market through a continuing programme of qualitative improvements, strict quality controls and emphasis on customer satisfaction. The company looks forward to being of service to any increasing number of citizens in the years ahead.
MANAGEMENT INFORMATION SYSTEM (MIS)
Management information system was introduced in Nigeria firms in order to enhance productivity. For management information system to be effected in any organisation, effective communication process must be adhered to, appropriate equipment used and information processed is channelled to its relevant destination in time.
Emenite Company limited introduced the office information system because they discovered that there is low productivity of output in their organisation. In order for the company to attain the output level set as a target, management information system was introduced. In most cases their output is below their target due to:-
(i) Capacity under utilization:- In most firms, some machines are either outdated or worn out due to poor refur bihsing syndrome.
(ii) Communication gap:- Without up to the minute and accurate information most firms would make mistakes that could deter the productivity and progress of their establishment. Information flow from top to bottom in some firms is not sound because of communication gap, consequently, productivity is low.
The concept of management information system was introduced to bring a lasting solution to this problem of low productivity in our firms. Because of these short-comings, the researcher was compelled to investigate use of management information system in manufacturing industries as it related to enhancing productivity of secretaries in an organisation. The essence of information in any manufacturing industry can never be over emphasized, since this information is essentially tailored to management needs and wants.
Sometimes these information system usually computerized are designed to provide management of such organization or firm with major information needed for managerial decision making. Computers application in this process of management information system is not a key condition for effective information flows. Management information system should be supportive to executive usage and cross organizational lines, either from up to down or vise versa.
However, an information system might be too costly and difficult to use where an organisation or firm as a solution, common data-base is used wherever, possible for each functional group or area with firms having separate models or sub system.
Moreover, management information system in Nigerian manufacturing industries is mostly accounting information but in real terms, it should reflect both financial and non-financial data. The non-financial data should include information about personnel manufacturing, marketing and the environment like socio-political information.
Management information system enables management and firms to obtain adequate information about output levels, capacity utilization, productivity and product possibility frontier where the factors of production are combined. This is accomplished in the planning process which has to do with setting of objectives and targets given the present budgets; evaluating the alternative ways of accomplishing the targets.
Because of the above mentioned concept which management information system is aimed at the writer has therefore chosen to make an investigation research on the impact of management information system on the productivity of secretaries in an organisation.
1.2 STATEMENT OF THE PROBLEM
The issue of failure, bankrupcy, mis-management and poor decision making in various establishments have been attributed to the non-existence and set back of proper management information system network. Most managers, infact are not aware of those problems in some selected organizations, hence, they fall victims of this circumstances. Few of them who are aware, and who have used this standard extensively excel in business but where management information system is not properly use, productivity will be very low.
In-spite of these therefore, the impact of management information system in establishments have not been without problems such as
1. Most establishments have no clearly defined information system.
2. Most firms are reluctant to adopt information as a company resort.
3. Information flow between the top-level management and subordinates is not efficient in enhancing productivity of secretaries.
4. Most management information system in some organisations is not computerized.
5. Most establishments do not invest in information just like in other resources to increase productivity of secretaries.
The among other problems motivated the researcher to carry on research on this topic and the research will eventually find out the imapct of management information system on the productivity of secretaries n Emenite company limited Emene Enugu.
1.3 PURPOSE OF STUDY
Given the various problems of management information system in Nigeria firms as outlined by the research is to
1. Find out the impact of management information system on the productivity of secretaries.
2. Identify the problems of management information system in manufacturing industries.
3. Ascertain the importance of management information system in an organization
4. Find out ho to make a special budget for information system in an organization.
1.4 DELIMITATION OF THE STUDY
The project covers only the impact of management information system on the productivity of secretaries in manufacturing industries in Enugu urban with special focus in Emenite company limited Emene, Enugu.
1.5 RESEARCH QUESTION
The following questions were developed to guide the study
1. What are the impact of management information system on the productivity of secretaries?
2. What problems confront management information system in manufacturing industries in Enugu State?
3. What importance is management information system to manufacturing industries?
4. How should special budget be made for management information system?
1.6 NULL HYPOTHESIS (HO)
There is no significant difference between the mean perceptive of senior mangers in Emenite Limited Emene and that of personal secretaries on the impact of management information system on the productivity of secretaries in that company.
1.7 SIGNIFICANCE OF THE STUDY
The result of the finding in the work shall be useful to both the secretary and the management in the following ways:-
(1) Help management to take corrective measures on standard management information system in the organization.
(2) Provide suggestions to avert problems of management information system in manufacturing industries.
(3) Ensure that importance of management information system are well observed in an organization.
(4) Provide basic information on how special budget are made for information system in an organisation.
1.8 ASSUMPTION OF THE STUDY
It is assumed that if management information system is in operation in an organization productivity of secretary will be high but if it is neglected the productivity of secretary will be low.
1.9 DEFINITION OF TERMS
Management information system is a formal system in the organization which provides management with the necessary reports to be utilized in the decision making process. It is a plan for effective decision making. Management information system can be summarized as a system used to convert data form both internal and external sources into information on the bases of management needs.
